Scanning QR codes

Use the Staff App's QR code scanner to start and complete tasks at a location and to end or return rentals.

The Staff App reads two kinds of QR codes:

  • Location codes, placed in rooms and other areas. Scanning one shows the tasks for that place and confirms that you're there.
  • Rental item codes, on items the hotel rents out, such as bicycles.

Open the scanner with the QR code button in the middle of the bottom bar, or with Scan QR Code on the home screen. The first time, allow the app to use your camera. Point the camera at the code; tap Cancel to stop scanning.

Scan a location code

After a successful scan, the app shows the area and its tasks: "Area … recognized with n tasks." If there are several, choose one under Select Task to Action. Then start, resume or complete the task as in Tasks in the Staff App.

When you complete a task from the scanner:

  • Photo Required for Completion: tap Take Required Photo when the task needs a photo.
  • Complete these subtasks first: open subtasks that block completion are listed.
  • Completion Note (Optional): add a note about the work.
  • Tap Complete Task.

When you scan for a task you already chose in the task list (for example after Scan to Start), the action runs straight away. If the code belongs to a different place, the app shows "Location mismatch" with the place you need to scan.

If no task matches, the app shows No active tasks found in this area. Tap Scan Another QR Code to scan again, or Cancel & Return.

Scan a rental item

The app shows the item's Asset Status and Rental Status, and for an item that's out, the guest, room and rental dates. What you can do depends on the item's state:

Item stateActions
Rented outEnd Rental when the guest returns it. Return Defective when it comes back damaged.
Reserved for a guestStart Rental.
AvailableNothing in the scanner. "Start Rental can only be accessed for reservations. Please use the Sales menu to start a rental." See Sales (point of sale).
Under maintenance, damaged, retired or missingThe app shows the state. Mark Active returns the item to service.

Return a defective item

  1. Tap Return Defective.
  2. Describe the problem, for example a brake defect or a flat tire.
  3. Optionally, give the guest a replacement: choose an available item of the same type (Option A), or scan or type its code (Option B).
  4. Tap Confirm Return.

Items with a task workflow

Some rental items are linked to a task workflow. Starting or ending the rental then shows CRM Workflow Required. Tap Start Workflow to create the tasks. The app shows them with Open Task; complete them before the rental status changes.
