Tasks are the work assigned to you or your team, such as cleaning a room or fixing a broken light. Open them with Tasks in the bar at the bottom of the screen.
The task list
The list shows Today's tasks that are still active. Each task shows its title, status, description, due time, who created it and who it's assigned to. A QR code icon on a task means it needs a QR code scan (required) or can use one (optional).
Tasks with subtasks can be expanded to show their open subtasks.
Filters for managers
Managers and administrators can filter the list:
| Filter | Options |
|---|---|
| Assignment | All Staff or Assigned to Me |
| Date Range | Yesterday, Today or Tomorrow |
| Status | Active, Open Tasks (open tasks of all dates; the date range is ignored) or All Statuses (includes completed tasks) |
| Origin | All, One-Off or Recurring |
Edit or reassign a task
Edit and Change Assignee (next to Assigned To) appear on the tasks you're allowed to manage:
- tasks you created;
- for managers: unassigned tasks, your own tasks, and tasks of staff you manage or who are in your department;
- for administrators: all tasks.
Create a quick task
- On the task list, tap + Quick task.
- Fill in Create Quick Task:
- Task Template (optional): choose a template, or — No Template (Custom Task) —.
- Task Title: required for a custom task. With a template, the title is filled in from the template.
- Room / Area: required when you use a template.
- Assignee (optional): leave — Unassigned (Optional) — to create the task without an assignee.
- Tap one of:
- Create: the task is created and not started.
- Create & Start: the task is created and started straight away.
- Create & Start from Template (with a template): tasks from a template always start immediately.
If the task is created but can't be started, the app says so and shows the reason. The task still exists, and you can start it from the list.
Start a task
The button on the task depends on whether it needs a QR code:
- Start Task for a task without a QR requirement. If the QR code is optional, you can also tap the QR code button to start it by scanning.
- Scan to Start for a task that requires a QR code scan. The app opens the scanner; scan the QR code at the place of the task, for example the room.
The task moves to In Progress. If the task, or one of its subtasks, requires a photo, the app continues straight to taking the photo (see Complete a task).
Pause and continue a task
- Tap Pause on a task that's in progress. The task moves to Paused.
- Tap Continue to resume it. For a task that requires a QR code, scan the code again to resume (Scan to Resume).
Complete a task
Tap Complete Task on a task that's in progress. A task that requires a QR code, or one you started by scanning a QR code, shows Scan to Complete instead: scan the QR code again to complete it.
If the task requires a photo, the app shows Picture Required:
- Tap Open Camera and take the photo.
- Review it, then tap Complete task. Tap Retake photo to take it again, or Cancel to leave the task in progress.
The app confirms with Success! when the task is completed.
When a task can't be completed
If something blocks the task, the app lists the Blocking Subtasks with the reason, for example:
| Message | What to do |
|---|---|
| Please attach a picture to this task. | Take the required photo. |
| Cannot be completed until cleaning status is updated. | Update the room's cleaning status first. |
| You do not have permission to complete this task. | Ask your manager. |
| This task depends on another task that is not finished. | Complete the other task first. |
| This task is not in a state that can be completed. | Refresh the task list and check the task's status. |
Tap Go Back to return to the task.
Linen checklists
Some housekeeping tasks require a Checkout Linen Checklist: you record the clean linen you bring to the room and the dirty linen you take to the laundry.
- When you start the task, the app shows Pick up clean linen with the Expected quantity of each item. Enter the Actual Clean quantities and tap Confirm and start task.
- When you complete the task, the app shows Collect dirty linen. Enter the quantities and tap Confirm and complete task.
If a quantity differs from the expected one, the app shows Quantity difference detected. Please explain before confirming., and a note is required before you can confirm. If submitting fails, check the quantities and your network connection, then tap Retry Submission or Reload Latest Snapshot.
The linen quantities you confirm are recorded. For a cancelled task, the recorded linen movements can no longer be changed.
