Hotel and room setup

Understand the hotel, area, room, room type and access-card records used by daily operations.

The Hotel menu contains Hotel, Area, Room, Room Type, Access Card, Booking Channel Configuration and Daily Room Inventory Snapshot. Set up the hotel and its rooms before assigning reservations or housekeeping work.

Establish the room structure

Open the relevant list, choose New, complete the fields marked with an asterisk and choose Save. Configure the hotel first, then its areas, room types and rooms. Check the hotel's time zone: dates used for operational days, attendance and reports depend on the hotel clock.

An Area identifies a location within a hotel. A Room Type describes a category; a Room is a specific physical room associated with a hotel. Check the room's area and type before assigning guests or task policies. Search existing records before adding another room.

Correct room status

In the room list, select the intended rooms and use Set Occupancy to choose Vacant or Occupied. Review the confirmation before accepting it.

Use Set Cleaning Status for Clean, Dirty, Inspect, Repair, Makeup, Towel Change, Restocking or Unknown. These are operational status corrections; they do not perform a reservation check-in or check-out. Use the reservation actions for a guest's arrival or departure.

System placeholder rooms are protected. Do not use them as real rooms or try to remove them to tidy the list.

Cards, booking channels and inventory history

Access Card holds card records. Issued cards can also be inspected from a reservation. Card issuance and physical access depend on the configured access-control integration; creating a record alone does not prove a door has been programmed.

Booking Channel Configuration assigns a hotel's channel to a revenue reporting group and can supply a default commission percentage. Each hotel/channel pair must be unique. See channel manager integration for the distinction between reporting configuration and import connectivity.

Daily Room Inventory Snapshot contains historical room inventory used by reporting. Backfill Inventory Snapshots defaults to a dry run and accepts up to 366 inclusive days. It creates missing rows without changing existing snapshots; today's unfinished hotel business date cannot be backfilled. Review the hotel/range and preview before running a real backfill. A snapshot is not a live reservation.

A room type's Bookable checkbox classifies guest-booking versus internal-use types. It does not itself prevent reservations or filter every availability view.

For staff scheduling, continue to staff and schedules. For recurring housekeeping, continue to task administration.
