Task administration

Configure task types, templates, creation policies and housekeeping services, and monitor work.

Open Tasks for Task, Task Template, Task Type, Shift, Task Creation Policy and Housekeeping Service. Staff carry out assigned work in the Staff App task workflow.

Find and manage work

Use Task to search and inspect tasks. Task Hierarchy switches between All Tasks and Parent Tasks Only; the latter can hide subtasks without removing them. Check the task's room or area, assignee, scheduled time and status before acting.

The task actions include Complete task, Pause task and Continue task. A disabled action can reflect the current status or lack of an eligible selection. Use the task's operational actions rather than changing status fields to bypass required checks.

Configure reusable work

  1. Define a Task Type for the kind of work.
  2. Open Task Template, choose New and set the task details and relevant type. Review assignment, timing and completion requirements.
  3. Choose the QR policy: None, Optional or Mandatory. A mandatory requirement needs the corresponding location code to be available to staff.
  4. Configure photo and linen requirements where applicable, then Save.
  5. Use Task Creation Policy to define when and for which records work is generated. Review its criteria before activating it.

Check Criteria previews which records match a policy; it does not generate tasks. A policy matching more rooms than expected needs correction before it is used. Review subtasks as part of the parent workflow so scheduling and assignment remain usable for staff.

Housekeeping and linen

Configure Housekeeping Service for the service offered by the hotel and connect the relevant task/template setup. Linen-enabled tasks need a valid hotel stock location and compatible linen items. A room's cleaning status and a task's completion status are separate facts.

Prepared linen checklists retain their own lines and quantities. Changing a template later does not rewrite an already prepared checklist. Completion posts the configured linen stock movement; cancelling the task afterward does not automatically reverse that movement. Correct stock through the inventory workflow when necessary.

Troubleshoot missing work

Check the policy is active, its criteria match the intended hotel/room, the schedule is correct and the template has usable assignment and completion settings. Check All Tasks before concluding a subtask is absent. Use audit trigger logs for automated creation failures; avoid repeatedly triggering a policy without checking whether work already exists.
