Rental administration

Understand rental items, physical assets, rental transactions and damaged-item replacement.

The Rentals menu contains Rental Item, Rental Asset, Rental and Rental Adjustment Request. A rental item defines what can be hired; an asset is a particular physical unit. The rental transaction links that asset and customer to a POS order line.

Prepare and inspect rentals

Configure the rental item and its price/time unit, initial status and any ID-upload or return-photo requirement. Create asset records for the physical units and review their availability. Save the configuration before staff use Sales to start a rental.

In Rental, inspect the customer, asset, quantity, price, checkout and expected return dates, status and linked order item. A room association is optional. When the item requires ID evidence, a rental without a room must have the required upload. A returned rental requiring a return photo cannot be saved without that photo.

The asset picker accounts for availability over the selected dates. If validation reports another booking, correct the dates or choose another asset rather than overriding the conflict. Return Date (UTC) is explicitly UTC; do not interpret it as the hotel clock.

Replace a damaged asset

  1. Select a rental that has an assigned asset and is neither returned nor cancelled.
  2. Choose Replace damaged item.
  3. Check Current Asset, select a different New Asset and add Notes describing the replacement.
  4. Choose Replace.

The action marks the old asset damaged, assigns the replacement and appends a dated note to the rental. It saves the change. The choices are filtered to suitable assets for that rental's dates. If no replacement is available, resolve availability rather than selecting the same asset again.

Use Rental Adjustment Request to inspect adjustment requests and their state; an existing request is not evidence that a financial adjustment has already been applied. Staff return/scanning steps are covered in QR scanning.
