Users and roles

Understand staff accounts, companies, departments and role-based access.

Open Security for Company, Department, Staff, Staff Role and My Details. Account administration requires the appropriate administrative permissions.

A company can operate multiple hotels. A staff account has company and default-hotel context as well as its personal details and assigned roles. Check both the business assignment and permissions when an employee cannot access the intended hotel's work.

Prepare an account

In Staff, create or open the intended account. Review username, personal details including the required phone number, company, default hotel and role assignments. Use Save after reviewing the access being granted. Set the native language if the employee will use language courses.

Use Staff Role to inspect the permissions granted by a role before assigning it. Existing roles include Administrators, Receptionist, POS Operators and Department Manager. A role's name is not a complete description of its record, member and action permissions; inspect the actual role configuration.

Has POS access follows membership in POS Operators and is not an independently editable switch. The administrator indicator is derived from the administrator role when the staff record is saved. Avoid granting the administrator role simply to solve an isolated missing action.

Verify access

After a role or hotel assignment change, have the employee sign in with their own account and check the required workflow and hotel records. An administrator's visible navigation is broader than a typical employee's and cannot prove that employee's access.

My Details opens your own profile. For operational staff planning, continue to staff and schedules. Phone archives, payroll and integration configuration can require additional permissions even when general navigation is visible.
