Preferences and reservation imports

Find import settings, run a bounded reservation update and inspect import results.

The Preferences menu includes Preferences, Online Travel Agent, Import options, Import Log, Country, Currency and Mailing Settings. Use these administrative settings only after checking their scope; a shared preference can affect more than one hotel's workflow.

Import options configures a source and its connection/job settings. Online Travel Agent identifies booking sources. Connection credentials and authenticated cookies are private configuration: do not include them in exported screenshots or support examples.

Choose an import action

Open Reservations → Reservation List → Import and choose the operation matching the intended change:

ActionIntended scope
Update today's ReservationsUpdate the current day's bookings
Update selected/filtered ReservationsUpdate selected records, or the filtered set when using that scope
Import reservations created between datesFetch bookings created in a bounded period
Import reservations by Reservation IDFetch one booking using its external identifiers
Channel manager mailboxImport from the configured mailbox
Channel manager excelImport the supported spreadsheet

Check the hotel/source and selection or filter before confirming. Import actions can create or update bookings and linked guest/room information; they are not previews. Selected/filtered updates require active channel-manager configuration and enforce a configured batch limit.

For Import reservations by Reservation ID, enter both Ext Id (GID) and Booking Id (GIB) from the channel manager booking. Do not substitute StayLuma.ai's internal record identifier.

Check the result

Open Preferences → Import Log after the operation. Review its source, date range, status, created/updated/cancelled/skipped counts and linked reservations. An import that skipped or failed rows needs inspection before retrying the entire batch.

Channel-manager imports require existing room and room-type mappings and respect reservations locked against imports. Email and spreadsheet imports can create related records or placeholder rooms, so review guest matches and room assignments afterward. Multi-room bookings can appear as separate reservation rows.

If a corrected meal plan is not reflected, review the source comments. Recognized breakfast/no-meal instructions can update a plan in either direction; unrecognized or absent phrases preserve the existing plan. Review and correct the source or booking rather than assuming another import will clear it.

See channel manager integration for mapping and connectivity, and reservations for arrival/departure work.
